Vensure PTO: A Balance and an Approved Request Are Different

A displayed time-off balance does not, by itself, confirm that a particular absence is approved. To understand your position, check the leave category, the date of the balance, the relevant employer policy, and the status of your request.

Identify the Leave Category

Vacation, sick leave, and a combined PTO bank may be tracked differently. Begin by identifying which balance you are viewing and which category your planned absence should use.

Do not assume that all displayed hours are interchangeable. If the category is unclear, ask HR or the assigned manager before submitting.

Also check whether the balance is current as of today, a recent payroll date, or another date shown in the system. The effective date matters when you are comparing it with leave recently taken or accrued.

Reconcile the Balance With Its History

If a balance looks wrong, ask for the relevant transaction history or explanation.

A simplified hypothetical calculation might be:

  • Opening balance: 24 hours.
  • New accrual: 4 hours.
  • Leave used: 8 hours.
  • Ending balance: 20 hours.

That example explains the arithmetic only. It is not a Vensure accrual policy. Your employer’s arrangement may include other rules or adjustments.

Identify the specific item that differs from your expectation: missing accrual, leave charged to the wrong date, a duplicate deduction, or an unexplained adjustment. A focused question is easier to investigate than “my PTO is wrong.”

Understand What the Request Status Means

Check whether the request is merely submitted, awaiting review, approved, declined, or changed. Use the actual status shown in your employer’s process.

If the requested dates change, confirm whether the existing request must be updated or replaced. Avoid submitting duplicates without understanding how they will be handled.

Before relying on an absence for travel or other commitments, obtain the required approval. A balance large enough to cover the hours does not substitute for that decision.

Use the Correct Policy and Legal Scope

The U.S. Department of Labor explains that the Fair Labor Standards Act does not generally require payment for time not worked, such as vacation. Its guidance also identifies separate requirements that can arise for certain government contracts. DOL vacation-leave guidance.

That federal explanation is not a complete answer to every leave question. Your employer’s policy and applicable state, local, or other rules need to be considered for your situation.

Check the Payroll Result When Relevant

If approved paid leave affects the payroll period, review the corresponding statement. Confirm that the dates and category were reflected as expected.
